Frequently asked questions
Everything you need to know before getting started.
- Who owns the data we enter into BoardPilot?
- You do — 100%. Your community retains full ownership of all data entered into BoardPilot. You can export everything at any time in standard formats (CSV, PDF). If you ever cancel, we provide a 90-day window to download your complete data archive before it is permanently deleted.
- What are the payment processing fees for dues collection?
- BoardPilot itself charges no additional transaction fees. When homeowners pay dues online via Stripe, standard Stripe processing fees apply (2.9% + 30 cents per transaction). For offline payments like checks or cash, there are no processing fees at all — simply record them manually in the system.
- We currently use spreadsheets and Venmo. How hard is it to switch?
- Most boards are up and running in under 10 minutes. Create your community, add your units, and send your first dues invoice — no data migration required. You can enter historical payment records over time, or start fresh. Our guided onboarding walks you through every step, and our support team is happy to help with bulk imports.
- Does BoardPilot help with state HOA compliance requirements?
- Yes. BoardPilot helps you meet common state-mandated recordkeeping requirements by providing structured meeting minutes with vote recording, an auditable violation history per property, and financial records with data export. While requirements vary by state, our templates and workflows are designed to satisfy the most common compliance obligations for self-managed associations.
